Refund Policy

The Karma Stay is committed to providing customers with a transparent and fair booking, cancellation and refund process for spiritual tourism, pilgrimage, religious, wellness and holiday travel services.

This Cancellation & Refund Policy applies to bookings made through The Karma Stay, including individual services and complete or customized tour packages involving accommodation, transportation, sightseeing, pilgrimage visits, darshan arrangements, Ashrams, Mutts, hotels, resorts, guest houses, homestays, cabs, drivers, guides, activities and other travel-related services.

By making a booking with The Karma Stay, the customer confirms that they have read, understood and accepted this Cancellation & Refund Policy along with the applicable booking terms communicated at the time of confirmation.

1. Scope of This Cancellation & Refund Policy

This Policy applies to:

  • Individual hotel, resort or other accommodation bookings;
  • Cab, taxi, chauffeur-driven vehicle and local transportation bookings;
  • Spiritual and pilgrimage tour packages;
  • Customized and group tour packages;
  • Darshan, puja, temple visit and spiritual experience arrangements, where offered;
  • Sightseeing and local excursion services;
  • Multi-destination pilgrimage packages;
  • Packages combining accommodation, transportation and other travel services; and
  • Other travel services arranged or sold by The Karma Stay.

The cancellation conditions applicable to a particular booking may vary depending upon the nature of the service, destination, travel dates, supplier conditions and booking terms specifically communicated to the customer.

Where special cancellation conditions are communicated to the customer before or at the time of booking, those specific conditions shall apply to that booking.

2. Definition of Cancellation Date

For the purpose of calculating cancellation charges, the cancellation date shall be the date on which The Karma Stay receives the customer's cancellation request in writing through the officially designated email address or other officially communicated booking channel.

Cancellation requests received on Sundays, public holidays or outside normal business hours may be treated as received on the next working day, unless otherwise specifically confirmed by The Karma Stay.

The number of days shall generally be calculated with reference to the scheduled commencement date of the tour or the check-in/service date, as applicable.

3. Standard Cancellation Charges – Tour Packages

Unless different cancellation conditions are specifically mentioned in the customer's booking confirmation, the following standard cancellation schedule shall apply to tour packages:

30 days or more 10% of total booking value
15–29 days 25% of total booking value
7–14 days 50% of total booking value
3–6 days 75% of total booking value
Less than 72 hours 100% of total booking value
No-show 100% of total booking value
After commencement of the tour 100% of the applicable unused/non-refundable amount

The above percentages represent the standard cancellation charges of The Karma Stay.

However, where actual cancellation or recovery charges imposed by hotels, Ashrams, Mutts, cab operators, transport providers, airlines, rail operators, activity providers or other third-party suppliers are higher than the standard charges above, the actual non-refundable amount payable to or retained by the supplier may be deducted from the customer's refund.

4. Supplier-Specific Cancellation Conditions

Many The Karma Stay packages include services supplied by independent third parties, including:

  • Hotels and resorts;
  • Ashrams and spiritual institutions;
  • Mutts and religious accommodation facilities;
  • Dharamshalas and guest houses;
  • Cab and taxi operators;
  • Drivers and transport companies;
  • Airlines, railways or other transportation providers;
  • Local guides;
  • Activity and excursion providers;
  • Temple, darshan or event-related service providers; and
  • Other independent travel and hospitality partners.

Each supplier may have its own cancellation, amendment, refund and no-show conditions.

Where such supplier conditions are applicable, The Karma Stay shall communicate the material cancellation conditions to the customer where reasonably available before or at the time of booking.

If a supplier has imposed a non-refundable amount, cancellation fee, advance commitment, minimum stay charge, special-event charge or other unavoidable cost , such amount may be deducted from the amount refundable to the customer.

The customer acknowledges that The Karma Stay cannot guarantee a refund of an amount that has already become non-refundable under the applicable supplier's terms.

5. Hotel, Ashram, Mutt and Accommodation Cancellation

Accommodation cancellation policies may vary substantially depending upon the property and travel dates.

For example, certain accommodation providers may permit cancellation without charge until a specified date, while others may impose partial or full cancellation charges.

Accordingly:

  1. The applicable accommodation cancellation conditions shall be communicated to the customer wherever available.
  2. Non-refundable accommodation bookings shall normally remain non-refundable.
  3. Special-event, festival, peak-season and high-demand dates may carry stricter cancellation conditions.
  4. Any amount already retained by the accommodation provider may be deducted from the customer's refund.
  5. The Karma Stay shall, wherever reasonably possible, request the accommodation provider for a refund or waiver as a goodwill measure, but such waiver cannot be guaranteed.

This provision is particularly applicable to pilgrimage destinations where accommodation availability may be limited during festivals, religious events and peak pilgrimage periods.

6. Cab, Driver and Transportation Cancellation

Cancellation of cab, taxi, chauffeur-driven vehicle or other transportation services may be subject to charges imposed by the transportation provider.

Where transportation has already been allocated, dispatched or committed for the customer, cancellation charges may apply.

If the customer:

  • Cancels the transportation service;
  • Changes the pickup or drop location;
  • Changes the travel date;
  • Reduces the number of days;
  • Changes the vehicle category; or
  • Requests substantial itinerary changes;

additional charges may apply depending upon the transportation provider's terms and the additional cost incurred.

Any actual non-refundable amount payable to the transportation provider may be deducted from the customer's refund.

7. Cancellation of Customized, Group and Special Packages

Customized itineraries, private tours, group tours, festival packages, pilgrimage packages and specially negotiated bookings may involve advance commitments to multiple suppliers.

Such bookings may therefore carry cancellation conditions different from the standard cancellation schedule.

For customized or specially negotiated packages:

  • Supplier-specific cancellation terms may apply;
  • Advance amounts paid to suppliers may become non-refundable;
  • Special rates may be non-refundable;
  • Group accommodation or transportation commitments may have separate cancellation deadlines; and
  • Additional cancellation charges may arise from changes made by the customer.

The applicable cancellation terms shall be communicated in the quotation, booking confirmation, invoice or other written booking document wherever reasonably practicable.

8. No-Show, Late Arrival and Unused Services

A No-Show means failure of the customer or any member of the travelling party to use a confirmed service without providing an acceptable cancellation request before the applicable cancellation deadline.

Unless otherwise specified by the supplier:

  • No-show bookings shall generally be treated as 100% non-refundable.
  • Late arrival at a hotel, Ashram, Mutt, pickup point or other service location does not automatically entitle the customer to a refund.
  • Failure to use a confirmed cab, hotel room, meal, sightseeing service, activity or other service shall not automatically create a refund entitlement.
  • Once a tour has commenced, voluntarily unused services shall generally not be refundable.

Where a supplier voluntarily provides a refund or credit for an unused service, The Karma Stay shall communicate the recoverable amount to the customer.

9. Changes or Cancellation Requested by the Customer

Customers may request cancellation or modification of a booking by contacting The Karma Stay through the officially designated communication channel.

A request for cancellation shall be considered effective only after The Karma Stay confirms receipt of the request.

Changes to:

  • Travel dates;
  • Number of passengers;
  • Number of rooms;
  • Vehicle category;
  • Pickup/drop locations;
  • Destination;
  • Hotel/Ashram/Mutt;
  • Duration of stay; or
  • Other material components of the package

may result in additional charges.

Such charges may include supplier amendment fees, fare differences, revised accommodation rates, transportation charges, administrative costs or other actual costs incurred in making the requested change.

A change request shall not automatically be treated as a cancellation.

10. Refund Processing

Where a refund is approved, The Karma Stay shall process the eligible refund after determining:

  1. The applicable cancellation charges;
  2. Amounts retained by third-party suppliers;
  3. Non-refundable booking components;
  4. Payment gateway or transaction charges, where applicable and legally permissible;
  5. Taxes or statutory amounts that are non-refundable, where applicable; and
  6. Any other actual and disclosed charges applicable to the booking.

Refunds shall normally be made to the original payment method used for the booking, unless otherwise agreed.

The refund processing timeline may depend upon receipt of the refund from the relevant supplier.

Where The Karma Stay is required to obtain a refund from a hotel, Ashram, Mutt, cab operator or other supplier before processing the customer's refund, the customer may be required to wait until the supplier completes its refund process.

The Karma Stay shall make reasonable efforts to process eligible refunds promptly.

11. Cancellation or Changes by The Karma Stay / Supplier

In exceptional circumstances, The Karma Stay or a third-party supplier may be required to modify, postpone, replace or cancel a service due to circumstances including:

  • Natural disasters;
  • Severe weather conditions;
  • Government restrictions or orders;
  • Temple, pilgrimage-site or religious-institution restrictions;
  • Road closures;
  • Strikes or transportation disruptions;
  • Security concerns;
  • Civil disturbances;
  • Epidemics or public-health restrictions;
  • Closure of hotels, Ashrams, Mutts or other properties;
  • Operational issues of suppliers;
  • Force majeure events; or
  • Other circumstances beyond the reasonable control of The Karma Stay.

In such circumstances, The Karma Stay shall make reasonable efforts to provide an alternative arrangement of comparable value or assist the customer in obtaining a refund, credit or adjustment from the relevant supplier, subject to the amount actually recoverable.

Where a supplier provides only a credit, rescheduling option or partial refund, The Karma Stay may pass the corresponding benefit to the customer after applicable deductions.

Nothing in this Policy shall exclude or limit any rights or remedies available to the customer under applicable law.

12. Important Conditions Regarding Third-Party Services

The Karma Stay may act as an organizer, booking facilitator or intermediary for certain services supplied by independent third parties.

Where a booking includes services provided by an independent:

  • Ashram;
  • Mutt;
  • Hotel;
  • Resort;
  • Guest house;
  • Dharamshala;
  • Cab operator;
  • Driver;
  • Transport provider;
  • Guide;
  • Activity provider;
  • Airline, railway or other carrier; or
  • Other third-party service provider.

the cancellation, amendment, refund and no-show terms of that provider may also apply.

The Karma Stay shall communicate the applicable cancellation conditions to the customer where such terms are available and applicable to the booking.

The customer understands that different components of the same package may have different cancellation deadlines and charges.

Accordingly, a package cannot always be treated as one single cancellable service.

For example, a hotel may allow cancellation up to a particular date, while a cab operator or Ashram may have a different cancellation deadline. The refund shall therefore be calculated based on the cancellation conditions applicable to the individual components of the booking.

The Karma Stay shall not retain any amount beyond the applicable charges and actual costs permitted under the booking terms and applicable law.

Customers are encouraged to submit cancellation requests as early as possible to minimize applicable cancellation charges.

Changes to This Policy

The Karma Stay may update this Cancellation & Refund Policy from time to time to reflect changes in its services, supplier arrangements, business practices or applicable legal requirements.

The revised policy shall be published on the official website with the applicable effective date.

However, unless otherwise required by law, the cancellation terms applicable to a confirmed booking shall be those communicated and accepted by the customer at the time of booking.

Customer Acceptance

By making a booking with The Karma Stay, the customer confirms that:

  • They have been given reasonable access to the applicable booking and cancellation terms;
  • They understand that different services within a package may have different cancellation conditions;
  • They understand that certain services may be non-refundable;
  • They understand that third-party supplier cancellation charges may apply; and
  • They agree to the cancellation and refund terms applicable to their booking.

Nothing contained in this Policy is intended to waive, restrict or exclude any mandatory rights or remedies available to a consumer under applicable law.
